Policies for Students
These policies apply to all short-term, summer study away programs, including Global Experience Seminars.
Selection for a Global Experience Seminar includes 2 steps:
- The Faculty Leaders read and evaluate applications. They may hold interviews (either group or 1-on-1) as part of the selection process.
- The Dean of Students confirms disciplinary or probationary status for all applicants to confirm eligibility.
The Global Experience Office strives to make study away accessible and possible for all students.
Students are billed according to the summer enrollment and billing schedule. Bills are generally available after the first week of July.
In the event a program is canceled by the College or a partner for any reason prior to departure, all participants will receive a full refund of costs.
Global Experience Seminars offer 1.5 units of credit, distributed as follows:
- 1 unit academic course, letter graded. This grade does factor into overall GPA. These courses may cover domain requirements or count towards a major/minor; work with your academic advisor to understand how this works in your plans
- .50 unit of GLBL 150, CR/NC (credit/no credit)
Both courses are required.
If you are waitlisted or not selected for your program of choice, you may be considered for another Global Experience Seminar running in the same summer. An email will be sent to you to outline your options.
To be considered for another program, you may need to write a brief statement of interest and/or interview with the faculty leader. The decision deadline will be quick, so watch your email.
Admission cannot be deferred to a future summer. You may apply to future programs.
A $350 deposit is required to secure your spot on a program. As part of the Acceptance Process, you will give us permission to bill your student account for the deposit. This deposit is nonrefundable unless the program is canceled.

To study away, students must be in good academic and disciplinary standing. Cases of academic warning and probation are considered individually. Students on disciplinary probation are not permitted to study away.
For summer programs, all students except graduating seniors must be registered for the fall semester at Beloit or on an approved study away program.

First-year students may study on summer Global Experience Seminars after completing their first full year on campus. Transfer students are eligible to participate after 1 semester at Beloit provided they have at least sophomore standing when the course begins.
Sophomores, juniors, and seniors, including graduating seniors, are eligible to participate. Note that receipt of final transcripts/diplomas may be delayed for graduating seniors.
All participants are expected to travel with the group from Beloit and back to Chicago or Milwaukee (depending on return airport).
If there is a compelling reason why this is not possible, please email studyabroad@beloit.edu prior to accepting your place on the program and describe in detail the reason you are seeking an exception to the policy.
Note that personal travel is not considered a compelling reason.

In order to pass each section, you must meet the requirements outlined in each course syllabus. Be sure to speak to your instructor if you have questions.
Health insurance is required for all study away, and must include coverage for medical evacuation and repatriation.
For international programs:
Students will be enrolled in either the iNext Comprehensive Plan with an additional rider for Security Evacuation and Mental Health or a comparable plan offered by a program provider. This is valid for the duration of the program abroad. The iNext Comprehensive Plan includes substantial health insurance, medical evacuation and repatriation, and Security Evacuation covers evacuation necessitated by political events and/or natural disasters. This cost is covered by Beloit for summer programs. Costs associated with care are the responsibility of the student who can file a claim for reimbursement.
For domestic programs:
Students with Beloit College health insurance may extend coverage over the summer. If you have insurance from another provider, be sure you understand how to access care while out-of-state. Costs associated with care are the responsibility of the student.
Confirmed participants will receive information about summer registration in spring.
Participants in a Global Experience Seminar will be required to agree to the terms and conditions set by the Global Experience Office and the in-country program providers. Failure to comply with the agreed upon terms may result in action including expulsion from the program and return to the US at the student’s expense without refund of tuition and fees.
Beloit College follows the recommendations of the US State Department Travel Advisory system.
- Study away is encouraged in countries with a rating of 1 or 2.
- In some circumstances, students may study in countries with a rating of 3, however Gilman scholarships will not apply.
- No study abroad is permitted in countries assigned a rating of 4.
Tuition remission or full-tuition scholarships cannot be used towards Global Experience Seminars. Meet with a Financial Aid Advisor if you have questions.
Students who are studying away in the spring may participate in a Global Experience Seminar. Considerations include:
- Whether semester away end dates/exam periods interfere with the timing of the seminar
- Arrangements for attending mandatory orientation during the spring semester
- Returning to Beloit or making other arrangements for the beginning of the course
- Required return to the U.S. with the group after the program concludes
Students studying abroad in the fall or upcoming academic year should have no conflicts with a Global Experience Seminar and are eligible to participate.
Students taking vacation terms before or after the Global Experience Seminar may be eligible if they meet all other eligibility requirements, but must fully participate in all spring orientation sessions and be present on-campus for the beginning of the course.
Students may participate in Center for Language Studies courses over the summer. They may not be simultaneously enrolled in a Summer Blocks course.
Students are responsible for acquiring any visas required to study abroad. Costs are borne by the students.
Global Experience Seminars have participant caps which may result in a waitlist for a given program. If you are waitlisted, you will be notified by email of your options and timelines.
Note that you may be required to accept your admission to a program very quickly, so if you are waitlisted, please take the time to decide whether you will be able to accept. Speak to an advisor with questions.
Students who withdraw from the program may be required to pay part or all of the cost of participation.
- Withdrawal before the deposit deadline will incur no charge.
- Withdrawal after the deposit deadline but before the course drop deadline will result in forfeiture of the non-refundable deposit of $350.
- Withdrawal after the course drop deadline established for Global Experience Seminars but before the flight cancellation deadline will result in the student being responsible for the full tuition for the program.
- Withdrawal after the flight cancellation deadline will result in the student being responsible for full tuition plus program fee for the program.
All charges will be posted in the summer billing cycle.
