Military Service and Calls to Active Duty

Admitted students

A student who has been admitted to Beloit College and is called to active U.S. military duty prior to enrolling may request a deferral of admission.

Enrolled students

A student who is called to active U.S. military duty during an enrolled term can take a leave of absence (vacation term) or receive Incomplete grades for their courses by presenting their military orders to the Dean of Students Office.

If the leave occurs during an academic term, the student will receive a 100% tuition refund and a prorated refund of unused room and board charges based on the residence hall checkout date (less any financial aid received for the term). No refund is provided if a student chooses to complete their courses. Students who choose to complete their current courses may take a leave for the following semester.

The College is required to perform a Federal Return of Title IV (R2T4) calculation if a student takes a leave, and this does not change for students activated for military service; however, students who meet the federal definition of an “affected individual” may be eligible for a waiver if activated for military service. Please refer to the college’s Return of Title IV Policy for more information.

A student may remain on leave (vacation term) for up to three consecutive terms and then return to the college without applying for readmission. A student who wishes to return after three vacation terms may apply for readmission and will be accepted unless they were academically dismissed. Admission will be to the same academic status that they had at the time that they took the leave.

A student who wishes to complete their courses rather than taking a vacation term should consult with the Dean of Students and instructors to request Incomplete grades. No tuition refund will be issued for courses for which Incomplete grades are granted. The deadline will be adjusted appropriately if the active duty extends beyond the usual Incomplete grade deadline.
